The whole process

From the Site Request to the Part on the Job

A purchase usually starts away from a desk: a mechanic needs a part, or a site runs short of material. And it doesn’t end when the order is approved. The goods have to arrive, go into a store and reach the job they were bought for.

Fieldmaster.ai keeps all of that on one record. Staff raise a material request from the phone, with a photo or a voice note in their own language, and live stock across your stores shows before anything is ordered. The delivery is received against the purchase order, stock posts to the store, and parts are issued against the job, vehicle or work order with photo proof.

In practice

One Purchase, Followed Through

The pattern from our procurement and stores app, live with a customer’s purchasing, finance and stores teams.

  1. Request raised

A material request is raised for the parts a job needs.

  2. Order drafted

The request becomes a purchase order, with a suggestion of the cheapest vendor.

  3. Chain approves

The order passes the customer’s seven-step approval chain, and comes out as a purchase order PDF.

  4. Stock posted

The goods receipt posts stock, and storekeepers issue and transfer it from there.

Delivered, not ready-made

Built Around Your Approval Chain

With a ready-made purchasing product, your team sets up its approval routing inside the product. For many companies, that is the quickest way to get spending under control.

With Fieldmaster.ai, we build the app around the chain you already run: your stages and your approvers, with the path set by purchase type, site or order value. A rejected request goes back to the right earlier stage and keeps its history, approved orders come out as PDFs in your layout, and every record shows who acted, when and how long each step took. When the process changes, tell us, and the change usually lands in days.

A fair comparison

When Procurify Is the Right Choice

It’s a capable, ready-made product, and for many finance teams it’s the right call. It fits well when:

  • Purchasing ends at the payment

You want accounts payable in the same product: invoices read and matched to purchase orders and receipts, and bills paid where they were approved. Stores and the jobs the materials are for don’t need to be part of it.

  • Staff spend on cards and claim expenses

You want physical and virtual spending cards with limits, and expense reports that start from a receipt photo, next to your purchase orders.

  • You want a ready-made accounting link

Procurify offers integrations with QuickBooks, NetSuite, Sage Intacct and Dynamics 365 Business Central, and PunchOut buying from supplier sites such as Amazon Business.

FAQ

Questions About Procurify and Fieldmaster.ai

What is the difference between Procurify and Fieldmaster.ai?

Procurify is a ready-made purchasing and spend product that you set up for your company. Fieldmaster.ai is built for you, around your own approval chain, and joins purchasing to your stores and to the jobs the materials are for.

Can we keep Procurify for invoices and payments?

Yes. If Procurify handles your bills, payments, cards and expenses well, keep it. Fieldmaster.ai can take on the part that happens away from a desk: material requests from site, goods receipt and stock issued against jobs. Lists export to Excel, and a direct link to another system can be built as part of your app.

Does Fieldmaster.ai pay vendors or issue company cards?

It records payments, and the money itself moves in the systems you already use. Finance records part or full payments against a received order, so each purchase can be traced from the first request to the final payment. Fieldmaster.ai doesn’t issue spending cards or run accounts payable. If you need those, Procurify can run alongside it.

Does Fieldmaster.ai connect to our accounting system?

Yes. Our team builds the link to your accounting system or ERP as part of your app, with API connectors that work in both directions and are tailored to the system you run. It isn’t a ready-made connector that you switch on yourselves, as Procurify’s are for QuickBooks, NetSuite and Sage Intacct, so the link is scoped and quoted with your project. Lists also export to Excel.

Do we pay for every user?

No. Fieldmaster.ai is priced on the work the app handles. For purchasing and stores, that is the number of SKUs you manage. Requesters, approvers, storekeepers and vendors are all included.

How long does it take to switch?

A typical app takes 10 to 18 working days to build. Your approval chain, item list and stores are set up to match how you buy today, and your item and vendor lists are imported. You can start with one site and add the rest later.

Do you work with companies outside the GCC?

Yes. Most of our work so far is in the GCC, and we take on companies in other regions too. The same team builds and supports your app, from Muscat, Ajman and Cochin.
