Purchase Management

Procurement Software: Every Purchase Approved, Every Step on Record

Run every material request, vendor quote, approval, purchase order, goods receipt and payment on one approval trail. Requests come from the people who need the item, vendors quote through a secure link, and finance pays for what was ordered and received.

The problem

Why Office ERPs Slow Down Purchasing

Traditional ERPs are built for accountants at a desk, not for the mechanics and site staff who need the materials. When field workers have to navigate complex office software, work around language barriers or type exact part codes just to request a part, the whole purchasing cycle slows down.

Approvals sit in inboxes and nobody can see which stage is holding them up. The same part gets requested twice and bought twice. Quotes arrive by email and are hard to compare, and deliveries get paid for without being checked against the order.

How it works

From Request to Purchase Order to Payment

Every stage is connected, so purchases move without delays or paperwork gaps.

  1. Request

Mechanics raise material requests from the app with a photo or a voice note in their own language. Purchasing identifies the exact item and pools the request with other open demand.

  2. Source and approve

Vendors quote through a secure link, AI Check compares every bid line by line, and each order moves through your approval chain, from workshop to finance to GM.

  3. Receive and pay

Deliveries are checked against the purchase order, each invoice is matched to its order and receipt, and finance pays for what actually arrived.

Proof

Proven at Scale

Results

What Changes for Your Operation

  • No duplicate orders

Stock on hand shows while people request and order, and each request line can only go on one purchase order.

  • Approvals that keep moving

Dashboards show where every document is waiting, and reminders chase anything that stalls.

  • Lower purchasing costs

Vendor price history, line-by-line quote comparison and an AI recommendation point each item to the best offer.

  • No over-receiving

Quantities above the purchase order are blocked at the loading dock, and rejected goods are recorded.

  • Payments that match deliveries

Each vendor invoice is checked against its purchase order and goods receipt, and any difference is flagged before payment.

  • Every purchase traceable

Any order can be traced back through its approvals and quotes to the original request, and forward to the receipt and payment.

Why field focus matters

What Happens When the Workshop Is Left Out

When requesting a part means an office ERP and an exact part code, the workshop works around the system, and you spend your day chasing what people actually need.

  • A mechanic in a blue cap and grease-stained hands looks at a smartphone while sitting beside motorbikes in a workshop.

Hours on the phone decoding requests

Requests arrive as calls, chat photos and vague descriptions, so you spend your time chasing mechanics to work out which part they actually need.

  • A vehicle with its hood raised and engine exposed sits in a dim workshop behind a hanging hoist chain and hook.

    Vehicles waiting on approvals

A request sits in someone’s inbox and nobody can say whose, so the vehicle stands idle while the workshop keeps calling to ask where the part is.

  • A worker pulls a red pallet jack stacked with cardboard boxes across a bright warehouse floor, with empty pallets and a trolley nearby.

    Paying for what never arrived

Deliveries are checked against a printout, so short, extra or damaged items get paid for, or argued over with the vendor weeks later.

Integrated by design

The Stock Side Comes With Your Purchases

When your purchases are for materials, Purchase Management includes the parts of material management your process needs, such as receiving goods into a store and seeing stock on hand before you order. There’s no second system to connect, because requests, orders, receipts and stock sit on one record.

It runs as a standalone product, so you don’t need an ERP behind it, and if you have one, we can integrate with it however you need. If you also want to run your stores on Fieldmaster, with issues, transfers, returns and serial numbers, Material Management adds them to the same record.

FAQ

Procurement Software: Common Questions

What is procurement software?

Software that runs buying from the first request to payment: material requests, vendor quotations, approvals, purchase orders, goods receipt and invoice checks. Fieldmaster puts the request in the hands of the person who needs the item, and the approvals, orders and receipts in one record.

Can vendors send quotations online?

Yes. Vendors quote on their own portal page, reached by a secure link, without a login to your system. Quotes are compared line by line, and the AI summary of the bids is a suggestion for the buyer to decide on.

Does it do three-way invoice matching?

Yes. Automated three-way matching compares each vendor invoice with its purchase order and goods receipt before payment, so finance pays for what was ordered and received, and any difference is flagged.

Do we also need Material Management?

Not to start. If your purchases are for materials, the receiving and stock steps they need are included. Add Material Management if you also want to run your stores on Fieldmaster, including issues, transfers, returns and serial numbers.

Do we need an ERP to use it?

No. Purchase Management works as a standalone product, from the first request to payment, with no ERP behind it. If you already have an ERP, we can build any kind of integration with it, so you can keep it for finance and use Fieldmaster for the requests, approvals and receiving that happen away from a desk. The choice is yours.

Can it produce purchase order PDFs?

Yes. Approved orders become purchase order PDFs in your layout, ready to send to the vendor.

How long does it take to set up?

Your approval chain, item list and vendors are set up to match how you buy today. Your app is typically live in 0 to 18 working days, depending on how much customization it needs.

Can we ask ChatGPT or Claude about our requests, quotes and orders?

Yes. AI connectors let you use your own LLM, such as ChatGPT or Claude, to ask questions like “Which approval stage has the most requests waiting?” and get the answer and a chart from your latest records. They follow each person’s role, and they are opt-in, not turned on by default.
